AdventureRoute Inc. ("AdventureRoute," "we," "us," or "our") is committed to protecting the privacy and personal information of our guests, website visitors, and business contacts. This Privacy Policy explains how we collect, use, disclose, store, and safeguard personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable British Columbia privacy legislation. By using our website at adventureroute.pro or engaging our guided excursion services, you acknowledge that you have read and understood this Privacy Policy.

1. Accountability

AdventureRoute Inc. is responsible for personal information under our control. We have designated a privacy officer who oversees compliance with this policy and PIPEDA. Our privacy officer responds to all privacy-related enquiries within ten business days.

We ensure that all employees, contractors, and guides who handle personal information receive privacy training appropriate to their role. Third-party service providers who process personal information on our behalf are bound by contractual obligations requiring PIPEDA-equivalent protection standards.

2. Identifying Purposes

We collect personal information only for purposes that a reasonable person would consider appropriate in the circumstances. The primary purposes for which we collect personal information include:

  • Processing route booking enquiries and excursion reservations
  • Communicating with you about your scheduled programmes, including pre-excursion consultations and post-route debriefs
  • Conducting safety assessments, including collecting health and fitness information relevant to mountain route participation
  • Processing payments and issuing receipts in Canadian dollars
  • Responding to general enquiries submitted through our contact form or email
  • Improving our website and services through aggregated, anonymized analytics
  • Complying with legal and regulatory obligations, including insurance reporting requirements
  • Maintaining records required for commercial liability insurance (Policy ARC-2026-BC)

We will identify the purpose of collection at or before the time personal information is collected. If we intend to use your personal information for a new purpose not identified at the time of collection, we will obtain your consent before doing so, unless the new purpose is required or authorized by law.

3. Consent

We obtain your knowledge and consent before collecting, using, or disclosing personal information, except where inappropriate or permitted by law. Consent may be express — such as checking the PIPEDA consent box on our contact form — or implied — such as when you provide your email address to receive a route quotation in response to an enquiry you initiated.

You may withdraw consent at any time, subject to legal or contractual restrictions and reasonable notice. Withdrawal of consent may affect our ability to provide guided excursion services. For example, if you withdraw consent for us to collect health information, we may be unable to assess your fitness for advanced routes and may decline your booking for safety reasons.

For minors under the age of eighteen, consent must be provided by a parent or legal guardian. We do not knowingly collect personal information from children under the age of ten without parental consent.

4. Limiting Collection

We limit the collection of personal information to that which is necessary for the purposes identified. The types of personal information we may collect include:

  • Contact information: Full name, email address, telephone number, and mailing address
  • Booking information: Preferred dates, group size, programme selection, dietary restrictions, and emergency contact details
  • Health and fitness information: Relevant medical conditions, allergies, medications, and fitness self-assessments provided during pre-excursion consultations
  • Payment information: Transaction records, payment method type, and billing address. We do not store full credit card numbers on our servers
  • Website usage data: IP address, browser type, pages visited, and cookie preferences (see our Cookie Policy)
  • Communications: Content of emails, contact form submissions, and telephone call notes related to your enquiry or booking

We do not collect social insurance numbers, driver's licence numbers, or other government identifiers unless specifically required for a legitimate business purpose and with your explicit consent.

5. Limiting Use, Disclosure, and Retention

We use and disclose personal information only for the purposes for which it was collected, unless you provide additional consent or disclosure is required or authorized by law. We do not sell, rent, or trade your personal information to third parties for marketing purposes.

Personal information may be disclosed to:

  • Assigned guides and operations staff who need the information to deliver your excursion safely
  • Payment processors for transaction processing (they receive only the information necessary to complete the payment)
  • Insurance providers in the event of an incident requiring a claim under Policy ARC-2026-BC
  • Legal and regulatory authorities when required by law, court order, or to protect the safety of participants
  • Emergency medical services if you require evacuation or medical treatment during an excursion

We retain personal information only as long as necessary to fulfill the identified purposes or as required by law. Booking records are retained for seven years for insurance and tax purposes. Contact form submissions from non-booking enquiries are deleted after twenty-four months unless an ongoing business relationship exists. Health information collected for safety assessments is deleted within twelve months of your last excursion unless a longer retention period is required by an open insurance claim.

6. Accuracy

We make reasonable efforts to ensure that personal information is as accurate, complete, and up-to-date as necessary for the purposes for which it is used. You are responsible for providing accurate information during booking and for notifying us of any changes to your contact details, health status, or emergency contacts before your scheduled excursion. Inaccurate health information may compromise your safety and the safety of other participants on the route.

7. Safeguards

We protect personal information with security safeguards appropriate to the sensitivity of the information. These safeguards include:

  • Encrypted transmission of data submitted through our contact form (HTTPS/TLS)
  • Access controls limiting employee access to personal information on a need-to-know basis
  • Secure storage of physical route cards and booking files in our locked Whistler office
  • Password-protected digital systems with regular credential rotation
  • Secure disposal of physical records through cross-cut shredding
  • Annual review of privacy and security practices by our privacy officer

While we implement robust safeguards, no method of electronic transmission or storage is completely secure. We cannot guarantee absolute security but commit to notifying affected individuals and the Office of the Privacy Commissioner of Canada in the event of a breach creating a real risk of significant harm, as required by PIPEDA.

8. Openness

We make information about our privacy policies and practices readily available. This Privacy Policy is published on our website and available in printed format upon request. Our privacy officer can provide additional details about our information handling practices upon written request.

9. Individual Access

You have the right to access personal information we hold about you and to request correction of inaccurate information. To submit an access request, contact our privacy officer at [email protected] with sufficient detail to identify the information sought. We will respond within thirty days and provide access at minimal or no cost, unless the request is manifestly unfounded or excessive.

We may refuse access in limited circumstances permitted by PIPEDA, such as when disclosure would reveal personal information about another individual, when the information is subject to solicitor-client privilege, or when disclosure could reasonably be expected to threaten the life or security of any individual. If we refuse access, we will provide written reasons and inform you of the complaint process.

10. Challenging Compliance

If you believe we have not handled your personal information in accordance with this Privacy Policy or PIPEDA, please contact our privacy officer first so we can investigate and resolve your concern. 11. International Transfers

AdventureRoute Inc. stores and processes personal information primarily in Canada. If we use service providers located outside Canada — such as cloud hosting or email delivery services — we ensure that contractual protections are in place requiring equivalent privacy standards. By using our services, you acknowledge that information may be processed in jurisdictions with different privacy laws than Canada.

12. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or legal requirements. The "Last updated" date at the top of this page indicates when the policy was most recently revised. Material changes will be communicated through a notice on our website. We encourage you to review this policy periodically.

Participants must follow guide instructions at all times and disclose relevant medical conditions before departure. AdventureRoute Inc. carries commercial liability insurance (Policy ARC-2026-BC) but cannot guarantee injury-free outcomes in alpine environments. By booking any programme you acknowledge these risks and agree to our Terms of Service. AdventureRoute Inc. is not a travel agency and does not sell transportation or accommodation services.
